# Microsoft Word

Microsoft Word is a word-processing application for creating and
formatting text documents — part of the [[microsoft-office]] suite, and
one of the most widely used document-authoring tools across business,
academic, and personal writing.

## Core capabilities

- **Styles** — named, reusable sets of formatting (heading levels, body
text, captions) that keep a document's formatting consistent and let
it be restyled globally by changing the style definition rather than
  every individual instance.
- **Templates** — pre-built document structures (reports, letters,
resumes) as starting points, consistent with the shared template
  concept across [[microsoft-office]].
- **Track changes and comments** — recording edits as suggestions rather
than immediate changes, and attaching discussion to specific passages
  — central to collaborative document review.
- **Mail merge** — generating personalized copies of a document (letters,
labels, certificates) from a data source like an Excel spreadsheet or
  Outlook contact list.
- **References and citations** — built-in support for footnotes,
endnotes, bibliographies, and citation styles (APA, MLA, Chicago, and
others), plus a table-of-contents generator driven by heading styles.

## Common pitfalls

- **Manually formatting text instead of using styles** — direct
formatting (bolding, resizing) applied instance-by-instance instead of
through styles makes global formatting changes and consistent
  structure much harder to maintain.
- **Headings not tagged with heading styles** — an automatic table of
contents, document navigation pane, and accessibility (screen reader)
support all depend on real heading styles, not just bold, larger text.
- **Track changes left unresolved indefinitely** — a document full of
unaccepted/unrejected tracked changes becomes hard to read and easy to
ship by accident with visible edit history still attached.
- **Version confusion in email-attachment workflows** — passing a
document back and forth as email attachments (rather than co-authoring
a single cloud-stored copy) easily produces conflicting, hard-to-
  reconcile versions.
