# Employee Handbook

An employee handbook is a reference document that tells employees how
the organization actually works day to day: what the policies are on
time off, expenses, and remote work, what's expected of them
practically, and how to get help or raise a concern. It's the
practical-policy counterpart to a [[code-of-conduct]], which covers
behavior and ethics specifically rather than the broad range of
operational policy a handbook is meant to hold.

## Key components

- **Practical policies** — time off and leave, expense reimbursement,
remote and hybrid work expectations, working hours, and other
day-to-day operational rules employees need in order to do their job
  without guessing.
- **Legal and compliance notices** — the notices required in the
organization's operating jurisdiction (e.g. equal employment
opportunity statements, required leave disclosures, at-will
employment language in the US), kept current with applicable law.
- **How to get help or raise a concern** — a clear, concrete path for
questions about pay, benefits, harassment, or workplace concerns,
naming who to contact and how, not just "talk to HR."
- **Role of the handbook itself** — a short statement of what the
handbook is (a policy reference) and isn't (a contract), and how it
relates to other documents like an offer letter or [[code-of-conduct]].
- **Version and effective date** — a visible date or version marker so
employees can tell whether they're reading the current policy.

## Why it needs to be kept current, not just written once

Employees treat the handbook as the authoritative statement of policy —
when a question comes up about time off or expenses, they check the
handbook rather than ask around. A handbook that still describes a
policy the organization changed a year ago is worse than having no
handbook at all: it actively misleads employees who reasonably trust it,
and it creates disputes when what's written contradicts what's actually
practiced. Keeping it current is not optional maintenance; it's what
makes the document usable as a reference in the first place.

## Common pitfalls

- **Policy in the handbook doesn't match practice** — when what's
written diverges from what's actually enforced or granted day to day,
the handbook loses credibility as the authoritative reference, and
employees stop trusting it even where it is accurate.
- **Written once at company founding, never updated** — policies change
as the organization grows (headcount thresholds trigger new legal
requirements, benefits change, remote-work norms shift), and a
handbook frozen at an early stage stops being reliable.
- **Buried in dense legal language** — a handbook written primarily to
minimize legal risk, with little regard for whether employees can
actually read and use it, ends up unread and unused, which defeats
its purpose even if it's technically compliant.
- **No clear path to raise a concern** — a handbook that mentions HR
exists but gives no concrete process leaves employees unsure how to
  actually act on a concern.
- **Silent on jurisdiction-specific requirements** — applying one
generic handbook to employees across multiple states or countries
without adjusting for local legal requirements creates compliance
  gaps.
